SCENIC

Design Submissions

Bid Drawings should include a full drawing package will all details to be ready for bidding. Additions or modifications after bid submission will be subject to budget and resources. PM/TD will prepare a bid package for the shops and oversee budgeting.

PM/TD will determine if the full design is feasible or if it must be scaled back. From there, Scenic Designer + Director will work with Penguin Staff to find suitable modifications to get into budget.

On-Site

The Monday before “Actors on Set”, scenic designer, props designer, and director shall convene on set to look at the dressing and determine notes priorities. The scenic designer is welcome to be at all spacing rehearsals that week.

There are 3 scheduled notes sessions for a total of 5 hours. Monday is a dark day and will be handled on an emergency needed basis only.

Additional

It is up to the scenic designer to keep updated designs in the production dropbox.

Any purchases made by the scenic designer wished to be reimbursed shall be approved by the PM before purchase is made.

COSTUMES

Penguin Rep does not have a costume stock.

Fittings

Typically actors can send measurements in advance or the first day of rehearsal, time can be allocated for measurements.

An extra room can be rented for fittings. Fittings can be scheduled for 1 hour before or after rehearsals but may not exceed 5 hour block.

No assistant for fittings in the city but we do have support staff at venue.

Take fitting photos.

On-Site

The designer need not be present for costumes load-in but should be at venue for first day the actors are in costume.

Wardrobe supervisor will clean and launder clothes with washer and dryer on-site as necessary for the run.

Purchases + Returns

Designer is responsible for costume purchases and returns. Producer + PM can help to support.

Producer can provide an advance.

Returns - told to Myra and Catherine they will pack. Typically designer will return themselves but PM + Andrew could help as needed.

Any purchase over $100 needs to be approved by PM + Andrew.

LIGHTING

Lloyd likes drawings by 9am on Friday so he can hang over the weekend.

Light Plots stay up until load in of the next production. Keep in mind we may use your plot for events and readings at the barn.

There are limited box boom positions.

The FOH pipe is far away from the stage so lights often are overhung to try and get a better angle.

Not much offstage space so side light can be tough.

We do not currently have an in house hazer.

No, the lighting tech table station cannot be moved to the center of house as it blocks visibility for those behind.

Please do not use all dimmers.

Please do not use all inventory.

There is a small expendables lighting budget otherwise, there is no rental budget.

The board will be moved to the booth before final dress rehearsal to which you may use a nomad from the house if desired but the board will not move back and forth.

We have a midi extender so midi control can be used from the tech table (as of July 2026)

SOUND

There are limited resources for sound equipment. Typically you will get L/R/C speakers and maybe one on stage speaker.

Sound Inventory HERE.

VIDEO/PROJECTIONS

Projections have been done in the past but have proved to be challenging due to the space and budgetary restrictions.

Gear is typically rented.
